The new Clarity Human Services interface provides a modern, mobile-first design while maintaining its ease of use. 

Introduction

We are officially transitioning to the New Clarity User Interface. This Clarity milestone is more than just an update; it is a celebration of the collective evolution of our community. 

We are here to empower you, as a System Administrator, as you lead your users through this exciting shift. 

This updated toolkit is your primary resource for managing the transition to the new Clarity User Interface; this document equips you with the narrative and practical assets needed to lead your users through this evolution with confidence. 

Much of the new UI experience is already available for use, and we will continue to release additional enhancements and features in phases to ensure a smooth, manageable transition for your team. As a System Administrator, you’ll be kept up to date with bi-weekly Feature Release emails specific to the new Clarity User Interface along the way.

Key Deadline:

October 1, 2026: Final forced switch for all users to the new Clarity User Interface.

About the New Clarity User Interface

When building out this new interface, we strove to create a modern, intuitive experience that provides the flexibility to give users the information they need exactly when they need it. Plus, we know how vital Clarity Human Services is to your community, and we want your users to have the best experience. The New User Interface offers:

What's in the Rollout Toolkit

The following assets are included in this toolkit to help you manage your local rollout: 

  1. Action Plan:
    A step-by-step roadmap for your transition, providing a clear sequence of recommended phases—from initial exploration to updating training materials. This Action Plan includes resources like a User Mapping Tool, Timeline Planner, and Communication Plan Template to support your transition. 
  2. Ready-to-Use Email Sequence:
    We have developed white-labeled templates you can copy/paste to drive adoption in your community. We’ll also be emailing you, the System Administrator, directly with technical readiness alerts and milestone reminders along the way.
  3. Master Slide Deck:
    A fully editable, co-branded PPT deck designed for your local training sessions.
  4. Resource Library:
    For all features in the new Clarity User Interface, we provide screenshots in Dark Mode and Light Mode across Desktop, Phone, and Tablet.

Triage Your Training

To help you determine when you need to re-build a training module versus just swapping a screenshot, we will categorize each piece of functionality in the Resource Library by Visual vs. Functional changes.

What does that mean, exactly?

Visual vs Functional (UI vs UX): 
  • UI (Visual Only): Aesthetic updates (colors, fonts, icon shapes) that do not change the sequence of clicks.
  • UX (Functional/Workflow): A change in the logic or sequence of a task (e.g., a new pop-up window or a consolidated form). This requires users to learn a new path.

While we are celebrating the maturity of Clarity, we recognize that this shift can cause stress for you and your team. We have provided these resources to empower you and reduce your support burden, eliminating the need for you to build training materials from scratch. 

Use what fits your community’s needs and skip the rest. 

Remember:

Modernized, Not Complicated: 
Most changes are visual (UI). While the interface looks new, the core workflows remain intuitive, and we provide a Visual vs. Functional categorization for each piece of updated functionality to help you triage what needs retraining.

We’re Helping with the Heavy Lifting: 
From pre-written email sequences to screenshots for every device, this toolkit is designed to eliminate the need for you to build training materials from the ground up.


The Action Plan: Your Roadmap to the New Clarity User Interface

The path to the new Clarity User Interface starts here. We know that leading a community through a significant UI/UX transformation can feel like a heavy lift, but you don't have to navigate it alone. Think of this Action Plan as your strategic guide—a roadmap designed to help you transform potential transition anxiety into a shared celebration of our community's growth.

We have broken the rollout into five phases to ensure a supported, guided evolution for your users. While this plan provides a clear sequence for success, remember that you are in the driver’s seat; feel free to adapt these steps to fit the unique operational rhythm and needs of your specific community.


Step 1: Get Familiar with the New User Interface

The first step to leading your community through this transition is becoming the resident expert. Before you train your users, take some time to explore the environment and see the evolution for yourself.

Enable the interface:
Try it out in your live or training site without affecting other users.

Explore the layout:
Get comfortable with the new design and features by following the practice steps below.



Step 2: Identify Your User Groups

Not every user interacts with Clarity in the same way, so your rollout doesn't have to be one-size-fits-all. Identifying how different roles are impacted allows you to prioritize your training and manage your time effectively.

  • Audit Your Community: Use the User Mapping Tool to categorize your users based on how the new interface affects their specific daily workflows.
  • Choose Your Pilot Group: Select one specific user group to pilot the new interface. Starting with a smaller pilot group allows you to gather feedback and fine-tune your approach before moving to a wider rollout.

  • Prioritize the Client Module: Focus your initial efforts on users heavily involved in client-facing tasks—such as program staff who manage enrollments, services, and assessments—as these areas see the most significant updates.
  • Identify Your Impact Gaps: Staff who primarily focus on reporting may not be immediately impacted by the new interface and can be scheduled for later phases of your timeline.
  • Champions vs. High-Support Users: Consider which users are likely to embrace the modern design and act as "change champions," and contrast that with users who may experience higher anxiety and require more proactive, hands-on support.

Step 3: Set Your Timeline

While the final forced switch to the new Clarity User Interface is scheduled for later this year, you are in the driver’s seat regarding how your community gets there. This phase is about moving at a pace that ensures your team feels supported.

  • Establish Your Milestones: Use the Timeline Planner to map out the journey for your pilot group and determine the most effective transition dates for your wider community.
  • Own the Rollout: You have control over when users access the new interface until the forced switch. You can encourage users to opt-in early to get comfortable well before the deadline.

    • Adaptive Planning: Remember that this timeline should be a living document; as with any large-scale transformation, be prepared to shift your internal milestones based on feature readiness and local data.
    • Know Your Deadlines: Choose a schedule that reflects your community’s operational realities.
    • Prioritize Immediate Impact: For example, outreach workers might benefit from an immediate switch to the mobile-first interface, while others may prefer to wait until all training materials are updated.

Step 4: Plan Your Communications

The key to a transition that feels like a glow-up rather than a forced change is clear communication. By establishing a narrative of support and progress early on, you can significantly reduce user anxiety and drive early adoption.

  • Draft Your Strategy: Use the Communication Plan Template to map out your touchpoints, determining exactly what, when, and how you will message your users.
  • Choose Your Channels: Use the provided templates to define your delivery methods—whether through community meetings, office hours, agency newsletters, or direct email sequences—to ensure your message reaches every corner of your community.
  • Prepare Your Materials: Leverage the white-labeled templates provided in this toolkit to create emails and presentations that keep your community informed and supported.

Strategic Tips:

  • Frame the Change: Position the transition not as a patch or routine update, but as a celebration of the community’s role in shaping a more sophisticated, modern Clarity.
  • Be Proactive: Clear, frequent messaging ensures that users know exactly what to relearn versus what just looks better, preventing confusion before it starts.
  • Build Confidence: Anchor your messaging in the idea that the tools are still in the same place—they have simply evolved to work better. 

Step 5: Update Training Materials

This phase is about arming your users with the knowledge they need to feel confident in the new environment while minimizing your own support burden. Instead of building from scratch, use our provided assets to update your existing local documentation.

  • Develop Your Training Plan: Empower your users by providing the specific tools and workflows they need to make the transition a success.
  • Adapt Your Documentation: Use the Visual vs. Functional information to triage your materials. For UI changes, simply swap an image; for UX changes, update the written steps to reflect the new workflow.
  • Utilize our Integrated Resource Library: Our Help Center content, recorded demos, and Resource Library assets are designed to work in harmony to make your local training materials shine. We provide a comprehensive suite of visuals featuring both Dark and Light modes optimized for Desktop, Tablet, and Mobile views, ensuring your documentation is accurate and professional on any device.

Depending on your community's needs, you may wish to provide direct instruction or offer self-guided options shortly before users gain access to the new interface.

Direct Training
  • Play the recorded demo for a high-level overview.
  • Walk through specific workflows relevant to that user group.
  • Explain your local rollout plan and timelines.
  • Provide hands-on exploration in the training site.
  • Host a Q&A session to address local concerns.
Self-Guided

Provide users with a centralized document or internal site that:

  • Instructs them to watch the recorded demo.
  • Lists commonly taken actions with links to Help Center articles.
  • Shares the rollout plan and local support process.
  • Explains how to get technical support during the transition.
