Editing Occupancy Records
When a user clicks on an occupancy row, an Edit Occupancy modal opens on the right side of the screen.

An Edit (pencil) icon shows at the top-right of the modal. When the user clicks it, the modal fields become editable.

The Edit (pencil) icon only displays for records matching the user's agency (or the one they are switched into) when:
- For General Occupancy Records: The Edit Enrollment-based Unit Records access right is enabled for the user's access role.
- If the user has the Edit Any Agency Enrollment-based Unit Records access right enabled for their access role, they will also see the Edit (pencil) icon for any agency enrollment-based unit records.
- For Overnight Drop-in Records: The Edit Overnight Drop-in Records access right is enabled for the user's access role.
- If the user has the Edit Any Agency Overnight Drop-in Records access right enabled for their access role, they will also see the Edit (pencil) icon for any agency overnight drop-in records.
The Occupancy Start Date/Time, End Date/Time, and Privacy settings are editable. The Unit/Bed is not editable.
If the occupancy record is an overnight drop-in, the End Date is not editable; it is automatically filled in based on the Start Date.
Deleting Occupancy Records
When the Edit Occupancy modal opens on the right side of the screen, an Action Menu (kebab) icon is available to the right of the Edit (pencil) icon at the top right of the modal.
![]()
When the user clicks this icon, the Delete option is available for records matching the user's agency (or the one they are switched into) when:
- For General Occupancy Records: The Delete Enrollment-based Unit Records access right is enabled for the user's access role.
- If the user has the Delete Any Agency Enrollment-based Unit Records access right enabled for their access role, they will also see the Delete option for any agency enrollment-based unit records.
- For Overnight Drop-in Records: The Delete Overnight Drop-in Records access right is enabled for the user's access role.
- If the user has the Delete Any Agency Overnight Drop-in Records access right enabled for their access role, they will also see the Delete option for any agency overnight drop-in records.

When the user clicks the Delete option, a pop-up message appears on the screen that reads:
"This record will be permanently deleted and cannot be restored in the future. Household member occupancy records are not impacted by this action. Please confirm."
Private Occupancy Records
Occupancy records can be marked private by clicking on the Privacy icon in the Edit Occupancy modal.
![]()
When an occupancy record is marked private, only users at the agency to which it belongs can see it.
Audit Log
The View Audit Log option can be selected from the action menu on the Edit Occupancy modal by a system administrator with audit log access rights.

A log of all changes to the client's occupancy record is displayed.
