Clarity Human Services: September 2024 Feature Updates

This month's release includes a new Notes icon, a new option to allow multiple referrals to Units/Beds, and more.

Highlights of this month’s updates:

  • Preview Notes with an icon pop-up
  • Bed & Unit Management setting only visible for residential program types
  • New setting allows multiple referrals to Units/Beds
     

Notes:

The updates described in this article will be deployed in the early morning hours on scheduled release days. During release, the Clarity Human Services application may experience performance delays. We recommend clearing your cache at the initial login if experiencing difficulty.

The Data Analysis update will follow the same feature release schedule dates. There may be a slight delay when accessing Looker after the release as the system updates are being applied. Data Analysis release notes will arrive in a separate communication.

Updated: Preview Notes with Icon Pop-up

Notes now include an icon that allows users to see a preview of the note’s content. This update aims to give users a more accessible view of notes in a client’s profile, both at the client and program levels.

To access the preview, hover the mouse cursor over the “Notes” icon.

Required Action: None.


Updated: Bed & Unit Management Setting 

Before this update, the Bed & Unit Management field on the program set up screen would be visible for both residential and non-residential program types.

Sept 24 release.Bed & Unit project types

With this update, the Bed & Unit Management toggle is only visible for the following residential program types:


A script will be run to turn off Bed & Unit Management for existing non-residential project types. For applicable non-residential projects, once the script is run, the following INVENTORY functions will be disabled:

  • Referrals can be made to Beds/Units associated with the program through the REASSIGN section of the Community Queue.
  • The Unit Queue will display Units/Beds associated with the program.
  • When this Bed & Unit Management toggle is enabled for a program, openings for this program cannot be posted in the Availability tab.
  • The Bed & Unit Management picklist in Referral Settings determines whether this Bed & Unit Management toggle is read-only or editable. Refer to our Referral Settings: Overview article for details.

Required Action: Before September 9, review any non-residential programs that have the Bed & Unit Management toggle enabled. If any of these programs should have the Bed & Unit Management toggle enabled because they are residential programs, update the Program Type to one of the options in the table above.

Otherwise, the script will be run as part of the September release to disable the toggle for all non-residential programs. You can also untoggle Bed & Unit Management for non-residential programs before the script is run on September 9, if you prefer.


Data Analysis Updates

Updated the “Programs: Bed and Unit Management” field logic in the Project Descriptor Model to display a null value when the project type is a non-residential program. For more information please see the Data Analysis release notes.


Required Action 

Content where the “Bed and Unit Management” field is filtered to "No" may provide different results. Update content containing the “Bed and Unit Management” field as necessary. 

Updated: Allow Multiple Referrals to Units/Beds 


Overview: With this update, System Administrators have the option to allow multiple Referrals to Units/Beds. A new Allow Multiple Referrals to Beds/Units option is available in the Referral Settings. When this setting is enabled, an Allow Multiple Referrals setting is visible on Unit Screens and/or Bed Screens. This update includes two new core Housing Inventory fields: “Allow Multiple Referrals” and “Maximum Referrals.”

Referral Settings Updates: The Allow Multiple Referrals to Beds/Units setting can be enabled when the Bed & Unit Management setting is set to Optional or Required. If Allow Multiple Referrals to Beds/Units has been enabled in Referral Settings, Deny Multiple Referrals Upon Enrollment will auto-enable to ON and read-only. Values will need to be set for the additional denial fields before you save.

Sept 24.Deny Referrals

When Deny Multiple Referrals Upon Enrollment is enabled (toggled ON) and a referral to a unit or bed results in an enrollment, the remaining pending referrals to the unit or bed are marked as “Denied” and the Send to Community Queue, Denied by Type, Denied Reason and Denial Information values are set to what is selected for the default values in the Referral Settings. The user who created the remaining pending referral(s) to a bed or a unit that is marked as “Denied” receives a notification in their Clarity inbox stating that the referral was denied.

If the Bed & Unit Management setting is set to “Disabled” the Allow Multiple Referrals to Beds/Units toggle defaults to OFF and read-only. In this case, no additional settings will appear.

Users with System Administrator (ID=1) and Admin access role types where the Setup permission is enabled in their access role can enable Allow Multiple Referrals to Beds/Units and related settings in Referral Settings.

Changes to the Allow Multiple Referrals to Beds/Units Referral Settings are logged in the Referral Settings audit log.

Unit Screens Updates: When the Allow Multiple Referrals to Beds/Units setting is enabled in Referral Settings AND the Unit Configuration Type (UCT) selected for “Unit Configuration” has Beds disabled, the Allow Multiple Referrals setting is visible on the Unit Screen. If the Allow Multiple Referrals setting is enabled on the Unit Screen, a Maximum Referrals field appears. The Maximum Referrals field is used to indicate how many referrals can be sent to the Unit.

Users with Admin or Manager access role types AND the following access rights enabled in their access role can enable Allow Multiple Referrals and set a value for Maximum Referrals for a Unit:

  • Create Sites - Administrative and Housing Inventory Entities

Users with Admin or Manager access role types AND the following access rights enabled in their access role can modify Allow Multiple Referrals and Maximum Referrals for a Unit:

  • Edit Sites - Administrative and Housing Inventory Entities

Changes to the Allow Multiple Referrals and Maximum Referrals settings in Unit Screens are logged in the Unit audit log.

Bed Screens Updates: When the Allow Multiple Referrals to Beds/Units setting is enabled in Referral Settings AND the Unit Configuration Type (UCT) selected for “Unit Configuration” has Beds enabled, the Allow Multiple Referrals setting is visible on the Bed Screen. If the Allow Multiple Referrals setting is enabled on the Bed Screen, a Maximum Referrals field appears. The Maximum Referrals field is used to indicate how many referrals can be sent to the Bed.

Users with Admin or Manager access role types AND the following access rights enabled in their access role can enable Allow Multiple Referrals and set a value for Maximum Referrals for a Bed:

  • Create Sites - Administrative and Housing Inventory Entities

Users with Admin or Manager access role types AND the following access rights enabled in their access role can modify Allow Multiple Referrals and Maximum Referrals for a Bed:

  • Edit Sites - Administrative and Housing Inventory Entities

Changes to the Allow Multiple Referrals and Maximum Referrals settings in Bed Screens are logged in the Bed audit log.

Future dated referrals

If a referral to a bed or unit is a future dated referral, the referral will not count toward the maximum number of referrals for the bed or unit until the future date. When the user creates a future dated referral to a bed or unit, a pop-up appears that reads “If the Referred To bed or unit has reached the maximum number of allowed referrals on [future date], this [future date] Referral will be automatically denied. Please confirm.”

 

Updates that result in pending referrals to a program only 

  • When a unit with a current Unit Configuration Type (UCT) has beds enabled and the UCT for the unit is updated to a UCT that has beds disabled, all pending referrals to the beds within the unit remain pending to the program only.
    • When the user moves the new UCT to the Upcoming section and sets an ‘As of Date’ and clicks ‘Save Changes,’ the user will see a pop-up that reads ‘Pending referrals to beds within the current unit will become pending to the program only on the selected ‘As of Date.’ 
  • When a unit with a current Unit Configuration Type (UCT) has beds disabled and the UCT for the unit is updated to a UCT that has beds enabled, all pending referrals to the unit remain pending to the program only.
    • When the user moves the new UCT to the Upcoming section and sets an ‘As of Date’ and clicks ‘Save Changes,’ the user will see a pop-up that reads ‘Pending referrals to beds within the current unit will become pending to the program only on the selected ‘As of Date.’ 
  • When a unit with a current Unit Configuration Type (UCT) has beds enabled and the UCT for the unit is updated to a UCT that has beds enabled but with fewer beds, all pending referrals to the beds within the unit remain pending to the program only.
    • When the user moves the new UCT to the Upcoming section and sets an ‘As of Date’ and clicks ‘Save Changes,’ the user will see a pop-up that reads ‘Pending referrals to beds within the current unit will become pending to the program only on the selected ‘As of Date.’ 
  • When a unit with a current Unit Configuration Type (UCT) has beds enabled and UCT for the unit is updated to a UCT that has beds enabled but with more beds, all pending referrals to the beds within the unit remain pending to the program only.
    • When the user moves the new UCT to the Upcoming section and sets an ‘As of Date’ and clicks ‘Save Changes,’ the user will see a pop-up that reads ‘Pending referrals to beds within the current unit will become pending to the program only on the selected ‘As of Date.’ 
  • When a unit with a current Unit Configuration Type (UCT) has beds disabled and the number of ‘Maximum Referrals’ is updated for the unit to a number that is less than the number referrals currently pending to the unit, all pending referrals to the unit remain pending to the program only.
    • When the user changes the number of ‘Maximum Referrals’ to a unit to a number that is less than the number of referrals currently pending to the unit and clicks ‘Save Changes’, the user will see a pop-up that reads ‘Pending referrals to the unit will become pending to the program only. Please confirm.’
  • When a unit with a current Unit Configuration Type (UCT) has beds enabled and the number of ‘Maximum Referrals’ for the bed is updated to a number that is less than the number of referrals currently pending to the bed, all pending referrals to the bed remain pending to the program only.
    • When the user changes the number of ‘Maximum Referrals’ to a unit to a number that is less than the number of referrals currently pending to the unit and clicks ‘Save Changes’, the user will see a pop-up that reads ‘Pending referrals to the unit will become pending to the program only. Please confirm.’ 
  • When a unit or bed has ‘Allow Multiple Referrals’ enabled and there are pending referrals to the unit or bed, and a user later disables ‘Allow Multiple Referrals’ for the unit or bed, all pending referrals to the unit or bed become pending to the program only.
    • When the user disables ‘Allow Multiple Referrals’ for the unit or bed and clicks ‘Save Changes,’ the user will see a pop-up that reads ‘Pending referrals to the unit or bed will become pending to the program only. Please confirm.’
  • When ‘Allow Multiple Referrals to Beds/Units’ is enabled in the Referral settings (and there are pending referrals to units or beds) and a user later disables ‘Allow Multiple Referrals to Beds/Units’ within Referral settings, all pending referrals become pending to the program only.
    • When the user disables ‘Allow Multiple Referrals to Units/Beds’ within the Referral settings and clicks ‘Save Changes,’ the user will see a pop-up that reads ‘Pending referrals to units and beds within this Referral setting will become pending to the program only. Please confirm.’  

Required Action: If your community decides to allow multiple referrals to Units/Beds, access rights should be updated and the appropriate settings for Referral Settings, Unit screens and Bed screens should be enabled as appropriate.
