Purpose

The LSA Data Cleanup: Household and Enrollment Data dashboard is designed to aid in federal reporting season preparation, submission, and follow-up. This dashboard enables users to review common issues with household and enrollment data for data quality clean up initiatives and general review.

Dashboard Filters

There are seven filters on this dashboard to filter data for reporting needs and targeted analysis. The table below outlines which Looks the filters apply to and the default values.

Analysis Period

Default: 10/01/2023 – 10/01/2024

This filter applies to all Looks.

Program CoC

Default: is any value

This filter applies to all Looks.

 

Selection impacts filter options for Agency Name and Program Name.

The following Looks make up the LSA Data Cleanup: Household and Enrollment Data dashboard. The overview below is broken down into sections within the dashboard and includes a summary of the Looks’ content. For more information on how a Look is configured and what fields/custom fields are used, please review the Look by selecting the ‘Explore from Here’ icon or within the ‘Tile Actions’ menu (three-dot icon) in the upper right corner.

Household Data Issues

i) Program Enrollment Household with No Head of Household

This Look contains a list of enrollment households active within the reporting period with no Head of Household.

ii) Heads of Households Less Than 6 Yrs Old at Project Start/Reporting Period Start

This Look contains a list of clients that are identified as the enrollment Head of Household and are under the age of 6. Age calculations utilize date of birth and the more recent of Project Start Date and Reporting Period Start Date to align with HUD Age as defined in the HMIS Reporting Glossary. Within the table, enrollment household and profile household information is included to identify potential data quality clean-up opportunities.

iii) Clients with Missing Date of Birth

This Look contains a list of clients with a blank/null/missing Date of Birth, Date of Birth Data Quality, and enrollment information.

Enrollment Data Issues

i) Clients Born After their Enrollment Start Date

This Look contains a list of clients that have a Date of Birth after their enrollment start date. If the client is a newborn, HUD Guidance as outlined in the HMIS Data Standards Manual advises that the Project Start Date should ‘reflect the date the project started providing housing or services to the newborn’.

ii) Heads of Household with Move-in Dates Outside of Enrollment

This Look identifies Heads of Household with Housing Move-in Dates outside of the enrollment. For more information on Housing Move-in Date guidance, please review the HMIS Data Standards.

iii) Enrollments with a Retired Prior Living Situation, Current Living Situation, or Exit Destination

This Look identifies enrollments that have an invalid living situation within the 3.917 Prior Living Situation, Current Living Situation, or Exit Destination. Valid Living Situations are outlined in Appendix A within the HMIS Data Dictionary and should be updated to ensure alignment.

iv) Enrollments with an Invalid Enrollment CoC

This Look identifies enrollments with a HoH’s Enrollment CoC that do not align with the CoCs selected within the Program Setup, or are null/blank.
