Data Quality Dashboard

Purpose 

The Data Quality LookML dashboard utilizes HUD HMIS Data Dictionary Data Elements as a focal point to review data completion and data quality. This dashboard contains information to help maintain and obtain data quality with an emphasis on the HMIS Data Dictionary Universal Data Elements, Program Specific Data Elements, and Federal Partner Program Elements. All elements in this report are designed to take into account the required funder: program components and project-type applicability as outlined in the HMIS Data Dictionary.  The content is broken down into eight sections – Enrollment/Client Counts for Context, Universal Data Elements (3.01 - 3.917), Program Specific Data Elements (4.02 - 4.13), Individual Federal Partner Program Elements (HUD-HOPWA, HHS-PATH, HHS-RHY, and VA/SSVF), and a System Administrator Access Required section – containing 24 Looks.  

Dashboard Filters 

There are six filters on this dashboard to limit data by Reporting Period, CoC, Project Type, Agency Name, Program Name, and Assigned Staff. The table below outlines what Sections/Looks the filters apply to and the default values.  

Reporting Period Filter 

Default: is in the last 1 quarter

The following Looks make up the Data Quality LookML dashboard. The overview below is broken down by dashboard summary and includes a brief summary of the Looks’ content. For more information on how the Look is configured, what fields are used, or custom fields, please review the Look by selecting ‘Explore from Here’ within the ellipses in the upper right corner.  

HUD Data Element cells are color-coded on a scale from white to red, based on the number of errors within the Look, while gray-filled cells indicate client and enrollment counts.

Enrollment and Client Count 

This Look contains a count of enrollments and unduplicated clients.  

Universal Data Elements 

Profile Screen Universal Data Element (UDE) Issues (3.01 - 3.07) 

This Look contains issue counts for universal data elements found on the client profile screen (DE# 3.01 - 3.07), and the count of unduplicated clients impacted by these profile screen UDE issues.  

Other Enrollment Screen Universal Data Element (UDE) Issues (3.08 - 3.20) 

This Look contains issue counts for universal data elements found on an enrollment screen (DE# 3.08 - 3.20), and the count of enrollments and unduplicated clients impacted by the UDEs 3.08 - 3.20. 

Enrollment Screen Universal Data Element (UDE) Issues - Prior Living Situation (3.917) 

This Look contains issue counts for 3.917 Prior Living Situation (A and B), and the count of enrollments and unduplicated clients impacted by 3.917A/B issues. 

Program-Specific Data Elements

This Look contains issue counts for program-specific data element 4.02 Income and Sources, and the count of enrollments and unduplicated clients impacted by 4.02 Income and Sources issues.  

Program Specific Data Element (PSDE) Issues: 4.03 Non-Cash Benefits 

This Look contains issue counts for program-specific data element 4.03 Non-Cash Benefits and the count of enrollments and unduplicated clients impacted by 4.03 Non-Cash Benefits issues.  

Program Specific Data Element (PSDE) Issues: 4.04 Health Insurance 

This Look contains issue counts for program-specific data element 4.04 Health Insurance and the count of enrollments and unduplicated clients impacted by 4.04 Health Insurance issues.  

Program Specific Data Element (PSDE) Issues: 4.05 - 4.10 Disability Information 

This Look contains issue counts for program-specific data elements 4.05 - 4.10 highlighting disabling condition information and the count of enrollments and unduplicated clients impacted by 4.05 - 4.10 disabling condition information issues. 

Program Specific Data Element (PSDE) Issues: 4.11 - 4.13 

This Look contains issue counts for program-specific data elements 4.11 Domestic Violence, 4.12.3 Current Living Situation - Living Situation Verified by, and 4.13 Date of Engagement, and the count of enrollments and unduplicated clients impacted by 4.11, 4.12, and 4.13 issues. 

Individual Federal Partner Program Elements 

HOPWA Only Required Element Issues (W1 – W5) 

This Look contains issue counts for HOPWA data elements W1 – W5, and the count of enrollments and unduplicated clients impacted by W1 - W5 issued. 

PATH Only Required Element Issues (P1 - P4) 

This Look contains issue counts for PATH data elements P1 – P4, and the count of enrollments and unduplicated clients impacted by P1 – P4 issues.  

RHY Only Required Element Issues (R1 - R20) 

This Look contains a total issue count for RHY data elements R1 – R20, and the count of enrollments and unduplicated clients impacted by R1 – R20 issues. For more information about which RHY element issues are present, select the Total RHY Error Count to review the count of issues per element in the drill down. To obtain a client list, drill further on the counts for each element.  

SSVF Only Required Element Issues (V2 – V5, V7) 

This Look contains a total issue count for SSVF data elements V2 – V5 and V7, and the count of enrollments and unduplicated clients impacted by V2 – V5 and V7 issues. For more information about which RHY element issues are present, select the Total SSVF Error Count to review the count of issues per element in the drill down. To obtain a client list, drill further on the counts for each element. 

VA Only Required Element Issues: V1 & V6 

This Look contains issue counts for VA data elements V1 and V6, and the count of enrollments and unduplicated clients impacted by V1 and V6 issues. 

HUD-VASH Only Required Element Issues (V8 & V9) 

This Look contains issue counts for VA data elements V8 and V9, and the count of enrollments and unduplicated clients impacted by V8 and V9 issues. 

Annual Assessments 

Annual Assessment Issues  

This Look contains counts of annual assessments that were completed out of range, past due, and had project start dates that were before the head of household’s start date.  

Annual Assessment Status Overview 

This Look contains counts of annual assessments that fall within each annual assessment status. 

Data Entry Timeliness 

Data Entry Timeliness 

This Look contains the count and percent of project start records, annual assessment records, and project exit records that fall within various day range tiers based on the Q6. Timeliness table in the HMIS Data Quality Report.  

Potential Exits and Long Stayers 

Potential Exits – Last Activity Date>365 Days Ago 

This Look contains a table with client/enrollment information for clients that have had no activity for a year or more. If the Row Limit Alert column returns red cells, the Look has hit the row limit and must be downloaded to review the complete results. 

Potential Exits – Active Enrollments with Days in Project>Average Length of Stay for Project Type 

This Look contains a table with client/enrollment information for clients that have a longer than average length of time in a project based on the average length of stay for that project type within the reporting period. If the Row Limit Alert column returns red cells, the Look will need to be filtered to review additional information. 

Active, Long Stayers (365+ Days) by Project Type 

This Look contains a table with the minimum days in project, average days in project, maximum days in project, and the count of enrollments that are currently open with a length of stay longer than 365 days by project type.  

System Administrator Access Required 

This section will be impacted by access and may return results that are inaccurate or incomplete if reviewed by individuals without System Administrator access, 

Potential Deceased/Active Clients and Clients with Overlapping Residential Enrollments 

This Look contains a count of clients that may be deceased* and active in other enrollments and a count of overlapping residential enrollments. 

*Clients are flagged as deceased based on a deceased exit destination.  

Potential Duplicate Profiles/Clients with Activity Dates within the Last 3 Years 

This Look contains a count of potential duplicate Clarity profiles/clients that have activity dates within the last 3 years. If the Potential Duplicate Clients count reaches 5,000, the Look has hit the row limit and will need to be downloaded to review the complete data table.
