      Data Analysis Release Notes 5/20/2024

      Release Notes Summary

      The changes outlined here will be released to Looker training instances on 05/06/2024 and production instances on 05/20/2024. Deployment should be complete by 8am ET. There may be slight delays when accessing Looker after the release as the system updates are being applied.

      LookML Dashboards

      The "Inventory - Unit/Bed Availability Overview - UCT Program Linked" LookML dashboard was updated to account for Pending Occupancy units/beds which were not previously included in this dashboard.

      Outreach V2 Model

      The Outreach model will be removed in the June release and the Outreach V2 model will be renamed and URL reset to Outreach. In effect, the current Outreach model will be replaced with the Outreach V2 model. All looks currently built with the Outreach model will need to be updated with the new fields available in the Outreach V2 model.

      Three new fields have been added to the "Programs" View in the "Outreach V2" Model.  A new group of fields called "Agency Information" with the fields: "CoC Code", "ID", and "Name". 

      Project Descriptor Model

      A new view has been added to the project descriptor model called "Outreach Settings." This view contains fields about the Outreach Settings connected to a given CoC.

      Detailed Changes

      LookML Dashboards

      The "Inventory - Unit/Bed Availability Overview - UCT Program Linked" LookML dashboard was updated to account for Pending Occupancy units/beds which were not previously included in this dashboard.

      • The following Looks had Pending Occupancy counts added:

        • Active Unit and Bed Count

        • Sites with Unoccupied or Pending Occupancy Units/Beds

        • Unoccupied & Pending Occupancy Units & Beds by Building/Site

        • Unoccupied and Pending Occupancy Units and Beds by Program/Project Type

        • Active Unit Availability

        • Active Bed Availability

      • “Pending Occupancy Units/Beds in Active Units” Look was added

      • Subtotals toggled off on Active Beds by Availability Looks

      • Count Looks updated so that all counts have commas when in the thousands

      • The following two Looks at the top of the dashboard are now displayed vertically rather than horizontally

        • Unoccupied & Pending Occupancy Units & Beds by Building/Site

        • Unoccupied and Pending Occupancy Units and Beds by Program/Project Type

      Outreach V2 Model

      The Outreach model will be removed in the June release and the Outreach V2 model will be renamed and URL reset to Outreach.       Three new fields have been added to the "Programs" View in the "Outreach V2" Model.  A new group of fields called "Agency Information" with the fields: "CoC Code", "ID", and "Name". These fields are joined into the explore after the Enrollments Join and will be associated with the enrollment allowed by the Enrollments Link Filter in the Outreach V2 model. By default they will only show agencies associated with encampment programs. Please see the April 2024 Data Analysis Release notes for more information about the Enrollments Link Filter in the Outreach V2 model.

        • CoC of the Agency Associated with the Enrollment Program
        • Field name: "outreach_programs.agency_coc"
      • ID
        • ID of the Agency Associated with the Enrollment Program. 
        • Field name: "outreach_programs.agency_id"
      • Name
        • Name of the Agency Associated with the Enrollment Program.
        • Field name: "outreach_programs.agency_name"

      Required Action: All looks currently built with the Outreach model will need to be updated with the new fields available in the Outreach V2 model in time for the June release. 

      Project Descriptor Model

      New View - Outreach Settings

        • This view contains fields about the Outreach Settings connected to a given CoC.

      • Added Date
        • The date the Outreach Settings Record was Added.
        • Field name: "outreach_settings.added_date"
      • Added Week
        • The week the Outreach Settings Record was Added.
        • Field name: "outreach_settings.added_week"
      • Added Month
        • The month the Outreach Settings Record was Added.
        • Field name: "outreach_settings.added_month"
      • Added Quarter
        • The quarter the Outreach Settings Record was Added.
        • Field name: "outreach_settings.added_quarter"
      • Added Year
        • The year the Outreach Settings Record was Added.

      • Outreach Settings ID
        • Unique ID of the Outreach Setting

      • CoC
        • The CoC of the Outreach Settings. The agency the user is logged into determines the Outreach setting they are within. If a specific CoC does not have an unique Outreach setting configured, then they fall into the 'Default' Outreach Setting with those Outreach Filters. If a CoC has their own unique Outreach setting configured, they follow those Outreach filters. Encampments are visible and usable to all unless the Outreach setting has the 'Restrict to CoC' toggle enabled.
