2020 HMIS Data Standards: Coordinated Entry Data Elements Overview - August 2019

 

Hello System Administrators,

Below are exciting updates regarding the new Coordinated Entry data elements being implemented within Clarity Human Services. Please click the link within each of the three data element sections below to view additional details and important next steps for each update.

In addition, please note that the updated HUD CSV export in alignment with the 2020 HUD HMIS Data Standards is on schedule to be released on October 1, 2019 with the HUD HMIS Data Standards update release.

Upcoming Changes 

4.12 Current Living Situation

The data element 4.12 Current Living Situation is a restructured data element of the previous "Contact" services data element. The restructured Current Living Situation will now live as an assessment within the program Assessments tab in client program enrollments in order to record Current Living Situation occurrences. 

The Current Living Situation assessment will appear within program enrollments that are assigned a program template that has Current Living Situation set as an Additional Status Screen. Additional Status Screen will be a new dropdown option within the program template setup in which the Current Living Situation screen can be selected.

4.19 Coordinated Entry Assessment

For System Administrators, in the Screens setup section: When editing an Assessment Screen, there will be a new "Coordinated Entry" toggle in the Assessment Screen’s configuration. When this toggle is turned on, the Assessment will be considered a Coordinated Entry Assessment. The Coordinated Entry Assessments should be provided within a client program stay and recorded for the following program types: Coordinated Entry or any other program using this field (depending on the CoC design of the Coordinated Entry system).

4.20 Coordinated Entry Event

The new data element Coordinated Entry Event will be implemented through a combination of Service Items, as well as inferred values to eliminate the need for duplicate data entry. These events should be associated with a client program stay and recorded for program types of Coordinated Entry or any other programs depending on the CoC design of the Coordinated Entry system.

The Coordinated Entry Data Elements 4.19 Coordinated Entry Assessment and 4.20 Coordinated Entry Event will be made available with the HMIS Data Standards Go Live on October 1, 2019. According to HUD Guidance, the "Go Live" date for communities implementing the new 4.19 and 4.20 Coordinated Entry data elements is April 1, 2020, although we recommend you begin utilizing these data elements as soon as possible.
